Keep Track of Return Processing with the Client Status System in UltraTax CS

The UltraTax CS client status system is a feature used to track the progress of your clients’ returns while processing them during tax season. You can view the progress of all returns at a glance, create comprehensive reports listing detailed status information, identify and avoid delays in processing, and manage your firm’s workflow more effectively.  

How to Best Use the Client Status System

UltraTax CS comes with status events pre-built into the program (simply called UltraTax CS events), but it also enables you to create user-defined­ events. The UltraTax CS events are automatically logged for you as the corresponding event occurs. They include, but are not limited to, the following.

  • General Client Events (such as adding a new client, opening a client, or proforma)
  • Printing Events (such as the printing of a return or organizer)
  • E-file Events (such as creating the e-file, transmitting the e-file, receiving an acceptance acknowledgement from the IRS)

To add your own events that correspond to other processes within your firm’s workflow, such as Return In Final Review or Return Completed, you can do so by adding user-defined events under Setup > Office Configuration > Status. On the Status tab, simply click the Add button to enter an event description. 

Note: We recommend creating user-defined events as early as possible once 2013 UltraTax CS is installed in your office. This will ensure that your firm is prepared to log events and monitor the various statuses of your clients. Be sure to familiarize yourself with the pre-loaded UltraTax CS events before creating your own User-defined events.   

In order to log a user-defined event, choose Utilities > Client Status from within UltraTax CS. If you have a client’s return open, access the Log Event tab and click the event that needs to be logged. You may also open the Log Multiple Clients tab to log an event for multiple returns.

Using the Detail Tab to Monitor the Status of Your Clients

The Utilities > Client Status > Detail tab displays a listing of your clients including all of your user-defined status events and the dates on which events have been logged. This tab allows you to see instantly where clients are in the return completion process relative to one another. You may focus this window by return type, preparer, etc. Additionally, you may preview, print, or export (to Microsoft® Excel®) the details on this tab.
