Introduction

RMW Accounting's Durango office set out to modernize three critical motions at once — get defensible tax answers faster, standardize advisory so more staff could contribute, and remove friction from the last mile of delivery. The firm led with CoCounsel Tax to research complex questions in minutes with authoritative citations partners could stand behind. Ready to Advise is being rolled out to turn partner know-how into repeatable advisory work so staff can deliver credible guidance sooner. The challenge

The Durango office faced two simultaneous pressures starting in 2020. The pandemic forced the firm to shift to virtual delivery overnight, but its legacy portal created avoidable delays and confusion. Clients missed "requires action" steps, e-file authorizations lagged, and partners and staff spent valuable time chasing signatures and estimate questions. The old system simply wasn’t built for client self-service. At the same time, generative AI entered the market. The firm wanted speed, but not at the cost of defensibility. As Director Brad Tafoya put it, "I didn't want to do that" when it came to relying on open web AI for professional answers; he needed authoritative citations and human review to preserve judgment. The tension was real; adopt AI or fall behind, but only if it could be trusted.

The solution

The firm led with CoCounsel Tax to anchor its AI strategy in trusted source partners. "I knew that I was still doing research in the software that I knew and trusted. CoCounsel's analysis capabilities now accelerate reviews of long documents. Operating agreements that took two to four hours are summarized and validated in minutes, with partners confirming details against the source. Tafoya uses CoCounsel almost every day, sometimes two or three times a day, for both quick confirmations and complex analysis.

In parallel, the firm is rolling out Ready to Advise to standardize advisory workflows and transfer partner knowledge. The aim is practical leverage; moving knowledge from Tafoya’s head to the rest of the staff so that basic advisory services aren’t bottlenecked at the partner level. "Ready to Advise is going to lay it out for [staff]. They still need to have that human touch and be able to understand what they're saying and speak it, but a lot of the work is going to be done for them so that it's not going to take them one, two, three years to be able to be in the advisory space. It can take them a matter of months."

Clients are guided to sign before accessing documents; signed e-file forms flow back to operations automatically; and estimate reminders trigger 14 days before due dates. Clients can securely forward returns to bankers via access codes, with no separate consent paperwork or partner intervention required. They can also manage quarterly estimated payments directly, with reminders arriving automatically.

The connected experience raised output trust with a clear, auditable path clients can navigate without confusion, and it created adoption trust across the team because it "just worked…intuitive, simple, and made sense."

The outcome

CoCounsel Tax changed the tempo of technical work. "I use it every day, sometimes two or three times a day." Routine questions are confirmed quickly with citations; complex reviews are compressed dramatically: "Ten, 15, maybe 20, 30 minutes instead of two or three hours." Partners still review and validate but now do so with authoritative grounding that strengthens confidence in the answer and accelerates client response times. When Tafoya tested the same questions in ChatGPT to compare, CoCounsel got it right more often.

SafeSend turned delivery from a manual, error-prone handoff into a guided, trackable experience. "Once the return is ready…it literally takes us maybe two, three, four minutes to deliver a tax return." E-file forms route back automatically, and clients get estimate reminders without staff chase. The efficiency gains ripple through the team. Partners spend less time on administrative follow-ups. Operations staff manage fewer manual tasks. Clients handle more themselves securely. Tafoya rates SafeSend "15 out of 10" because it saves time for partners, staff, and clients alike, and it's easy to use.

Ready to Advise is poised to expand advisory capacity by standardizing how work is scoped, delivered, and reviewed. The firm is learning from other firms that have embedded policies and procedures into CoCounsel so staff can ask questions without always going to the partner. Tafoya's vision is clear — move the knowledge out of his head and into repeatable workflows so that a junior staff member can offer basic advisory services in months rather than years.
